WellRated Pro LLC ("WellRated," "we," "us," or "our") collects information to provide reputation management services to contractors and their businesses. We collect the following types of information:

Business Information:

  • Business name, address, phone number, and website
  • Business owner name and contact information
  • Review platform credentials and account connections (Google, Facebook, Angi, BBB)
  • Industrial compliance platform data (ISNetworld, Avetta, BROWZ, Veriforce) when provided
  • Certifications and business documents you choose to include in your bid profile

Customer Contact Information (provided by you):

  • Names and phone numbers of your customers for review request SMS messages
  • Email addresses of your customers for review request emails

Payment Information:

  • Billing information is collected and processed by Stripe. WellRated does not store your full credit card number.

Usage Information:

  • How you interact with the WellRated dashboard
  • Review data pulled from connected platforms
  • SMS and email delivery statistics

2. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the WellRated Pro platform
  • Monitor and aggregate your business reviews across connected platforms
  • Send review request SMS messages and emails to your customers on your behalf
  • Generate monthly reputation reports for your business
  • Create and maintain your bid profile
  • Send you alerts about new reviews or rating changes
  • Process your subscription payments
  • Provide customer support
  • Comply with legal obligations

3. Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following limited circumstances:

  • Service Providers: We share information with trusted service providers who help us operate our platform, including Twilio (SMS/email), Stripe (payments), Supabase (database), and Google (review monitoring). These providers are contractually obligated to protect your information.
  • Review Platforms: When you connect your review platform accounts, we access your review data on your behalf to display it in your dashboard.
  • Legal Requirements: We may disclose information if required by law, court order, or government request.
  • Business Transfer: If WellRated Pro LLC is acquired or merged, your information may be transferred as part of that transaction.

4. SMS Messaging

WellRated Pro sends SMS messages to your customers on your behalf requesting reviews. Regarding these messages:

  • Messages are sent from the WellRated Pro phone number (409) 263-5382
  • Your customers can opt out at any time by replying STOP
  • Your customers can get help by replying HELP
  • Message and data rates may apply to recipients
  • You are responsible for ensuring you have appropriate consent from your customers to receive these messages
  • We do not share customer phone numbers with any third party other than Twilio for message delivery

By using WellRated Pro's SMS features, you confirm that you have obtained appropriate consent from your customers to contact them via text message regarding their experience with your business.

5. Data Security

We take the security of your information seriously and implement industry-standard measures including:

  • Encryption of data in transit using TLS/SSL
  • Encrypted database storage
  • Row-level security policies on all customer data
  • Limited employee access to customer data on a need-to-know basis
  • Regular security reviews

However, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as your account is active or as needed to provide you services. If you cancel your WellRated subscription:

  • Your account data is retained for 30 days in case you wish to reactivate
  • After 30 days, your business data and customer contact information is permanently deleted
  • Review history and reports may be retained in anonymized form for service improvement
  • Payment records are retained as required by law

7. Your Rights

You have the following rights regarding your information:

  • Access: You can request a copy of all information we hold about you and your business
  • Correction: You can update or correct your information at any time through your account settings
  • Deletion: You can request deletion of your account and associated data
  • Portability: You can request an export of your review data in CSV format
  • Opt-out: You can opt out of non-essential communications at any time
